Does this integrate with my EMR or practice management system?
The widget lives on your website, separate from your EMR. When a referred patient books and pays, you record the conversion in AdvocateLoop, either via the widget at checkout, from your dashboard, or via webhook if your PMS supports outgoing event notifications. We’re working on direct integrations with major aesthetics PMS platforms; let us know which you use and we’ll prioritize.
Are referral rewards considered a kickback under healthcare law?
Discount codes redeemable for elective cosmetic services are generally treated differently than referrals for medical services covered by insurance. We are not your attorney, if you have questions about the legal status of patient incentive programs in your state, consult one. But the discount-code-only structure (versus cash payouts) is the model most aesthetics practices use precisely because it stays inside the patient relationship.
How is patient information handled?
AdvocateLoop only stores the email and name a patient enters into the widget themselves. We never store medical records, treatment history, or any health information. Each practice’s data is isolated; we don’t share or sell patient information ever.
Can my front desk see who referred a new patient?
Yes. The dashboard shows every conversion with the advocate who drove it. Your team can recognize repeat referrers at check-in, send personal thank-yous, and surface top advocates for special programs (early access, loyalty events, etc.).
What happens if a referred patient asks for a refund or chargeback?
The reward is automatically docked from the advocate’s account. You only count rewards on revenue that stuck. The original patient’s credit reverses without you needing to take any action.
Can I run different programs for different treatments?
On the Premier plan you can run up to 3 separate brand sites, useful if your practice has multiple service lines (med spa, wellness, plastic surgery) that you want to keep distinct. Within a single brand, you control the discount amount and the messaging through your settings.
